Allocate $200 from the organization funds to purchase a multi-function printer.

Background

The organization makes printouts on a regular basis, for both official use (membership agreements, waivers, etc) and personal use. We own a late-1990s Xerox network laser printer for this purpose. The Xerox usually works, but it's slow, sometimes jams and throws errors. Connecting it to a new computer sometimes requires effort. The printer is also physically large. It's main advantage is that it's capable of printing on 11x17 (Tabloid) sheets.

If we desire for a more modern and reliable way to print, it would be useful to be able to scan and copy on the same device as well - something a multi-function printer does. The Board has a need to scan signed membership agreements and waivers, which is currently done by taking the paperwork out of the hackerspace to a Board member's home or office in order to be scanned. This is inconvenient, slow, etc...

Based on the above criteria, Internet research and personal experience, Dmitriy proposes that we purchase a refurbished Brother MFC-L2740DW Compact Laser All-in-One from BrotherMall.com (the official Brother Internet Store), which should cost less than $200 after taxes and fees (if any). The talking points are:

  • Dmitriy owns this model at home and is satisfied with it
  • Buying refurbished should be safe and economical (buying same model new is $55 more)
  • It's a black and white laser printer, so cost of consumables will be low. High yield toner lasts ~2.6K pages and costs ~$50. Drum lasts ~12K pages and costs around $100.
  • This printer will not print to 11x17. Laser printers that can print to 11x17 start above $2,000 and take up more room, which is not a good use of our space/money.
  • It has a color screen and "cloud" features for scanning to / printing from certain cloud storage services, including Google Drive. This feature will be useful for quickly uploading official paperwork to the Board's Google Drive account and for printing membership forms / waivers without a PC. Dmitriy confirmed that this works on his printer.
  • This printer has a duplexing ADF scanner, which is useful for scanning stacks of two-sided documents automatically.
  • The printer supports mobile printing. It can otherwise be connected to via wired LAN, wireless and USB.
